How-to manual: Kourx License Optimizer for D365 Finance and Operations

How to install the Basic edition, run your first scan and read the results.

These docs cover the early access release. Some details may change before general availability.

Overview

Kourx License Optimizer is an add-on for Dynamics 365 Finance & Operations. It reads users, security roles and sign-in history, works out the license each user needs, and lists users who are inactive, over-licensed or duplicated. It runs inside your environment and doesn't change any data.

Requirements

  • A Dynamics 365 Finance & Operations environment.
  • Permission to deploy packages to that environment, or someone on your team who has it.
  • A sandbox environment for testing before production.

Install

  1. Log in to your Kourx account and download the deployable package and your license file.
  2. Apply it to your sandbox environment using your normal package deployment process.
  3. Open the Kourx Insights page and confirm it loads.
  4. When you're happy with the results in the sandbox, deploy the same package to production.

The package contains compiled code only. Upgrading from Basic to Pro or Enterprise later uses a new license file and doesn't need a new package.

Run your first scan

Open Kourx Insights and select Run now. The scan runs as a batch job. When it finishes, the tiles in Kourx Insights and the four reports show the results.

After the first run, the scan repeats weekly on its own. You can still select Run now at any time.

Settings

Open Parameters from Kourx Insights to change:

  • Inactivity threshold. The number of days without a sign-in before a user is listed as inactive. For example, 90 days.
  • Scan schedule. The day and time of the weekly scan.

Reports

Inactive users

Enabled users who haven't signed in within the inactivity threshold, with the license they currently hold.

Role license analysis

The license each security role requires, so you can see which roles push users into a higher license.

Over-licensed users

Users whose assigned license is higher than the license their roles require.

Duplicate and test accounts

Repeat identities and test or generic accounts in production that hold a paid license.

Who can see results

Access to Kourx Insights and the reports is controlled with standard D365 security roles. Give access only to the people who review licenses, such as system administrators and license owners.

Uninstall

Remove the Kourx package through your normal package removal process. Kourx doesn't change your users or roles, so nothing else needs to be undone.
